What Fleet Floor collects, what it does with your cost data, and what it never does.

Last updated 26 September 2026

The short version

Your truck costs and your jobs are yours. We store them so the app works, we show them only to logins in your company, and we don’t sell them or hand them to anyone. If you leave, you can export everything and ask us to delete it.

What we collect

  • Account: your email address, your name if you give it, and your company name.
  • Truck and job data: the numbers you enter: fuel prices, mileage, repair totals, monthly bills, wages, job miles, hours, tolls, rates and outcomes.
  • Lead form: email, company and truck count if you ask for the cost sheet.
  • Usage: anonymous page views and product events (a button was clicked, a job was priced) through Vercel Analytics, which doesn’t use cookies or track you across sites.

What we do with it

  • Run the app for you and your team.
  • Email you about your account: sign-in links, and product updates you can stop with one click.
  • If you asked for the cost sheet: send it, then up to two follow-up emails, then nothing unless you sign up.
  • Regional benchmarks, opt-in only. If your company leaves “contribute to benchmarks” switched on, your jobs are combined with other operators’ into regional averages (for example, median price per mile for a 50 to 150 mile tow in southeast PA). We never publish a figure built from fewer than five companies, and nothing identifies you, your customers or your rates. Switch it off in settings at any time.

What we never do

  • Sell your data or share it with advertisers, motor clubs, brokers or competitors.
  • Show one company’s numbers to another.
  • Use your data to train an AI model.

Where it lives

Data is stored with Supabase (Postgres, hosted in the United States) and the app runs on Vercel. Email is sent through Resend. If you upload a motor club rate sheet, the PDF is sent to Anthropic’s Claude API to read the rates; we don’t store the file, and only the rates you choose to save are kept. Each of them has its own security and privacy commitments; we don’t give them more than they need to do their job.

Your choices

Export your jobs any time from the reports page. Email mark@fleetfloor.co to delete your account and everything in it; we’ll confirm within a few days. Unsubscribe links are in every marketing email.

Changes

If this policy changes in a way that matters, we’ll email account holders before it takes effect.
